We process staff names, phone numbers, email, GPS coordinates at check-in, and selfie photographs solely to run attendance and payroll for your organisation.

Photos

Reference selfies are kept while the employee is on the roster. Daily check-in photos are deleted about 12 hours after capture. Photos are not public; they are served only to logged-in members of the same organisation.

Location

GPS is used to test a 35-metre (configurable) geofence around the outlet pin. We store the coordinate, accuracy and distance for that punch.

Retention

Attendance rows (without the image) remain for payroll history. You may export and delete an organisation by writing to support.

DPDP

The organisation that invites an employee is the data fiduciary for that staff record. Smart Attendance is a processor of that workforce data.
